Owners manage the organisation's people on People (Configure › People).
Adding someone
Add a user takes an email address (or, for a data collector, a username), a role and a first password, which you pass on to the person yourself: Joripo sends no invitation email.
- The first password is temporary: at their first sign-in they choose their own. Untick They choose their own password to let them keep it. It starts unticked for a data collector, because Joripo Collect cannot change a password.
- Choose where they work: every workspace (the default, including workspaces added later) or the ones you tick. See Roles and permissions.
- Sign-in names are compared in any letter case, so
Ana@Example.organdana@example.orgare the same person.
Changing someone
Edit changes a person's role, the name shown for them, their workspaces, or sets a new password (entered twice).
- A new password ends every sign-in of theirs in every browser and revokes their API tokens and Joripo Desktop connections. It can also sign them out of every phone, which must then sign in again and be approved: the answer to an account you suspect someone else has used.
- A lower role ends their sign-ins too. A role that does not collect (reviewer) has its phone keys refused, even on a phone left signed in.
- If a manager narrowed to Data collector only in a workspace is made a reviewer, they stop working in that workspace (a reviewer does not collect), and the change says so.
Deactivating someone
Deactivate signs a person out for good and revokes every phone of theirs. Nothing they collected or changed is touched. Setting them a new password makes them active again.
Password reset requests
When someone uses Forgot password? on the sign-in page, a request appears under Password reset requests. Set a new password opens that person's password form; give them the new password directly, and the request closes. Dismiss closes it without a change. One person has at most one open request; asking again refreshes it.
Two accounts for one person
Before sign-in names were compared in any letter case, an account stored with capitals could exist beside a lower-case one for the same address. People marks such a pair for an owner to resolve. Neither account is merged or removed automatically.
Everything is recorded
Adding a person, changing a role or workspaces, deactivating someone, setting a password and deciding on a phone are all recorded in the organisation's Activity log (Configure › Activity log), with who did it and when. See The activity log.
